How to Prepare an Occupied Office for Carpet Cleaning

The cleaning appointment is easier to organize when employees, facilities staff and the contractor share the same plan. Most preparation is about clear responsibilities and access.

Confirm the work areas in writing

Use a floor plan or room list to show exactly where the team will work. Mark occupied desks, closed offices, meeting rooms and any spaces that must stay operational. If the appointment covers exposed carpet only, make that distinction visible before employees start moving furniture unnecessarily.

Agree who will move and replace permitted items. Heavy storage, IT equipment and connected desks should not be left to an assumption on the day. Ask the appropriate building or IT contact to handle anything requiring specialist disconnection or access approval.

Send occupants a short, useful notice

Tell employees the planned date, affected zones and what they personally need to do. Keep the notice specific: clear loose items from the agreed floor area, secure private paperwork and follow the room-access plan.
